Valeron Protection Group Ltd ("Valeron", "we", "us", "our") is committed to protecting and respecting your privacy. This policy explains how we collect, use, store, and protect your personal data when you visit our website, contact us, or engage our services, and sets out your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. By using our website or engaging our services, you acknowledge the practices described in this policy.

2. What personal data we collect

Depending on how you interact with us, we may collect:

Information you give us directly

  • Name, email address, phone number, and any other details submitted via our contact or enquiry forms
  • Details you provide when requesting a quote or consultation (e.g. nature of the service required, locations, dates)
  • Correspondence you send us by email, phone, or post

Information relevant to protective and concierge services

Where you engage us for close protection, VIP travel, residential security, or concierge services, we may need to collect more detailed personal information in order to plan and deliver those services effectively. This can include:

  • Travel itineraries and accommodation details
  • Information about family members or associates relevant to a protection plan
  • In some cases, sensitive ("special category") information — for example, medical or health information relevant to safety planning, or information that could indicate a security threat

We only collect special category data where it is strictly necessary to deliver the service you have requested, and we will explain why it’s needed at the point of collection and obtain your explicit consent where required by law.

Information collected automatically

  • Standard technical data when you visit our website (e.g. IP address, browser type, device type, pages visited), typically collected via cookies or similar technologies — see Section 8 below.

We do not knowingly collect more personal data than is necessary for the purpose in question.

3. How we collect your data

We collect personal data when you:

  • Submit a form on our website (e.g. the contact or quote request form)
  • Call, email, or otherwise communicate with us directly
  • Engage us to provide services, during onboarding and throughout the course of that engagement

5. Sharing your data

We do not sell your personal data. We may share it with:

  • Subcontracted personnel or partner agencies directly involved in delivering your protection, travel, or concierge service (e.g. a vetted driver, local close protection officer, or partner agency in another jurisdiction), strictly on a need-to-know basis
  • Service providers who support our operations (e.g. IT hosting, scheduling software, payment processing), under contractual obligations to protect your data
  • Regulatory or law enforcement bodies, where we are legally required to do so, or where necessary to protect the safety of you, our personnel, or others

Any third party we share data with is required to handle it in accordance with UK GDPR and to use it only for the purpose we’ve specified.

6. International transfers

Given the international nature of VIP travel and close protection work, your data may occasionally need to be shared with personnel or partners located outside the UK. Where this happens, we take steps to ensure your data receives an equivalent level of protection, for example through adequacy regulations or standard contractual clauses approved by the UK Information Commissioner’s Office (ICO).

7. How long we keep your data

We retain personal data only for as long as necessary for the purposes it was collected, including to satisfy any legal, accounting, or reporting requirements. As a general guide:

  • Enquiry/contact form submissions that don’t proceed to an engagement: up to 12 months
  • Client and service records: for the duration of the engagement plus a period afterward to meet legal, insurance, and contractual obligations (typically up to 6 years)
  • Data required for ongoing safety or risk-management purposes: retained for as long as relevant to that purpose

We will securely delete or anonymise data once it’s no longer needed.

8. Cookies and analytics

Our website uses Vercel Web Analytics to understand overall site traffic and usage trends. This tool does not use cookies and does not collect any information that identifies you personally — visitors are recognised only via a temporary, anonymous hash that is automatically discarded after 24 hours. No data from Vercel Web Analytics is linked to your name, email address, or any other personal identifier.

We do not currently use Google Analytics or any other cookie-based tracking or advertising technology on this website. If this changes in the future, we will update this policy and, where required by law, request your consent before any such cookies are set.

9. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Rectify inaccurate or incomplete data
  • Erasure of your data, in certain circumstances
  • Restrict how we use your data
  • Object to our processing of your data, including for direct marketing
  • Data portability, where applicable
  • Withdraw consent at any time, where we rely on consent as our legal basis

To exercise any of these rights, contact us at info@valeronpg.uk. We will respond within one month, as required by law.

If you’re unhappy with how we’ve handled your data, you also have the right to complain to the UK’s data protection regulator:

Information Commissioner’s Office (ICO) — Website: ico.org.uk — Phone: 0303 123 1113

10. How we protect your data

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse, consistent with the sensitive nature of the services we provide. This includes access controls, encryption where appropriate, and restricting sensitive client information to personnel directly involved in delivering your service.

11. Children’s privacy

Our services are intended for adults. We do not knowingly collect personal data from children, except where relevant to a protection plan covering a client’s family (e.g. travel/security arrangements involving a minor), in which case data is provided and consented to by a parent or legal guardian.

12. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or legal requirements. The "last updated" date at the top of this page will indicate when changes were made. We encourage you to review this policy periodically.
